## General Reservation Policies

Space requests can be submitted through FAS Roombook by Quincy House students, tutors, or staff, as well as recognized student groups in good standing\*. Please note that the Dining Hall, Junior Common Room, Senior Common Room and Kates/Tobin Community Room cannot be reserved by student groups and are available for House events only.

- Quincy students reserving space on behalf of a student organization must be 1) an active member of the organization, 2) present for the entirety of the meeting, and 3) responsible for ensuring the meeting complies with all room reservation guidelines.
- Requests should be made **at least two working days** (Monday-Friday) in advance for all reservations. (*For example, requests for weekend events should be made by the Wednesday evening before).* Reservations can be made up to 30 days in advance.
- When submitting an event request, please include a brief explanation of your event (e.g. “Club meeting,” “Virtual interview,” or “Quiet study”).
- A reservation is considered **tentative until you receive an official confirmation email** from Roombook.
- During **reading or exam periods**, common spaces can only be reserved for quiet study. Large gatherings and student organization meetings will not be permitted.
- If you are seeking an exception to these policies, email the Housing Administrator with the details of your event (your name, the name of the event, description of event, start and end time, preferred room, brief explanation of the event, number of attendees, and House affiliation) for consideration.
- The House Offices review reservations on Monday, Wednesday, and Friday mornings. Please plan accordingly so that you have enough time to receive a decision and inform your event attendees accordingly.
- Room reservations are subject to relocation if reserved spaces are needed for Quincy House events.

## Expectations &amp; Responsibilities

The individual making the space reservation is liable for themself and their group when using a Quincy House space. They are expected to leave the room cleaner and more organized than they found it. Failure to do so may result in a loss of space reservation privileges in the future.

- All furniture must be returned to its original arrangement.
- Excess trash should be bagged and deposited in designated trash rooms or dumpsters; receptacles in room should not be left overflowing.
- Tabletops should be left free of residue, and floors should be mopped if they have become sticky during the event.
- Any event where alcohol is served must be pre-approved by the **Resident Dean’s office and communicated with the tutor-on-call**.
- Large gatherings with amplified sound are restricted to specific designated areas and outside of House quiet hours out of courtesy to other community members.

*\*A recognized student group in good standing is a student organization that is in compliance with the policies and expectations set forth by Harvard College’s Student Organizations Office. There are 596 recognized student groups. Spaces cannot be reserved for unrecognized groups or groups not in good standing with the college.*
